What PinePlanner replaces

Three pieces of your week, in one tool.

From preferences to run-of-day in one afternoon.

Campers rank their elective picks each period. The solver places everyone, respects starred picks, penalizes repeats from prior weeks, and produces print-ready PDFs.

  • Per-elective ranked preferences
  • Min-cost-flow solver
  • Per-camper schedule cards (PDF)
  • Per-activity rosters (PDF)

Staffing, qualifications, and free-time duties.

Track Lifeguard, Boat Driver, Belay, Driver-21+ certs. PinePlanner refuses to double-book, over-schedule, or send an unqualified counselor anywhere they shouldn't be.

  • Per-staff quals + off-periods
  • CIT half-staff assignments
  • Free Time / P6 duty rotations
  • Idle-staff and overwork warnings

Programs, trips, changeovers — all in Programs & Ops.

Everything that happens around the schedule: the daily newsletter, evening events with staff-on-duty, off-camp trips with cabin manifests, and Saturday transitions when half the camp turns over.

  • Daily newsletter with masthead
  • Evening event rotations
  • Off-camp trips + manifests
  • Saturday changeover task lists

What's in the box

Everything you'd build in spreadsheets — without the spreadsheets.

Six-step weekly workflow

Activities → Staff → Schedule → Preferences → Solve → Finalize. A clear path from Monday planning to Friday print.

Min-cost-flow solver

Optimal placement under fairness exponent, repeat penalties, cohesion bonuses, and starred picks. Solves a full week in ~50ms.

Per-division qualifications

Junior / Middie / Senior each have their own enabled state, capacity, and qual requirements per activity. No "but Juniors can't do that" surprises.

Daily newsletter with masthead

The Daily Star (or whatever you call yours). Editable masthead, weather panel, evening event call-out, print-ready PDF — done in under 90 seconds.

Evening events & free-time duties

Evening events with staff-on-duty rotations. Period 6 / Free Time duty rotations auto-populated from blocks that extend past P5.

Off-camp trips

Day trips with per-cabin signup sheets, manifests, and bus assignments. Surfaces alongside the activity grid so trips and on-camp programming never collide.

Saturday changeovers

Half the camp arrives, half departs. PinePlanner orchestrates the day: arrival lists, departure lists, hourly task assignments, transportation, and the cabin reset.

Transportation routes

Bus routes, airport runs, per-camper transport defaults. Manifests print with driver, vehicle, and pickup-point assignments.

Multi-director live sync

Two directors editing at once? Every change syncs live via Firestore. Conflict detection, echo suppression, sign-out wipe — all handled.

Who it's for

If your camp runs on electives, you'll feel at home.

PinePlanner fits camps with 50–500 campers, elective-based programming, mixed-cert staff, multi-week sessions, and a director who's tired of spreadsheets that lie about availability.

✓

Elective-based days. Campers pick electives 4–6 times a day, not one all-day cohort.

✓

Camper preferences matter. Kids rank their elective picks; you want a fair shot at first choices.

✓

Mixed-cert staff. Lifeguards, boat drivers, belay-certified — and you can't stretch them across the day.

✓

Multi-week sessions with changeovers. 1, 2, 4, or 7-week stays — and a Saturday turnover day that needs orchestrating.

✓

Programming beyond the schedule. Daily newsletter, evening events, off-camp trips, transportation manifests.

✓

Two directors editing at once. One on staffing, one on roster — live sync without stepping on each other.

Don't run electives? Cabin-based programming — where the cabin moves together as a single cohort — is coming soon. Get in touch to be notified.
